Job Description

1.             Assists in the procurement of supplies for each department by receiving, tallying and reviewing each item requested by the employees and contacts suppliers to provide at least 3 quotations per item to determine the lowest-priced but high quality supplies and preparing the Purchase Request and Purchase Order Forms and validating the quality of the item before distributing it to the respective departments.
2.             Notifies all department heads or authorized representatives to fill up the Supplies Request Form on a monthly basis through email to insure that all employees would have sufficient office supplies within the period covered.
3.             Inspects deliveries of office supplies purchased for accuracy of amount, quantity and quality of items prior to acceptance.
4.             Inspects condition of stocks and fixtures and classifies and arranges stocks in the warehouse and keeps it in good storing condition to prevent pilferage and damage to stocks.
5.             Handles the actual inventory and monitoring of equipment such as computers and its peripherals,  recreational equipment and office equipment including those released to employees, by putting property tags on equipment; recording and monitoring stock deployment for property accountability; periodically checking for defects to maintain its good working condition or requesting replacements for defective units; and updating and maintaining a database of all accountable properties; and recommends disposal of unserviceable equipment to effectively monitor stock movement.
6.             Issues Property Acknowledgement Receipt to equipment issued not only to all newly-hired but to all employees such as locker key, headset, company ID, proximity card and amplifiers to insure that company property have been duly received and accounted for.
7.             File documents such as, Gate Passes, Quotations, Delivery Receipts, and Pull Out Receipts by immediately placing the documents on the respective folders upon receipt to ensure the maintenance of and easy access to said files.

KRA:    Maintenance of Facilities

1.             Conducts rounds within the office premises to check for or verify if all the company facilities and equipment are in good working condition by observation and/or inquiring from the employees to ensure orderliness and cleanliness of the facilities.
2.             Receives suggestions and complaints from employees that are related to the company facilities and solves these matters either by finding a solution or forwarding the concern to the immediate supervisor; by contacting contractor or suppliers on construction work, repair of office equipment etc. needed in order to provide timely response to the said issues.
3.             Maintains company property and equipment based on preventive maintenance schedule to ensure that these units (e.g., air conditioning units and lights) are functional.
4.             Receives items found by employees, guard-on duty and utility personnel that have been misplaced by others and returns the said item to the owner either by checking the database or notifying all employees that such item has been found in order to establish security and safety within office premises.

KRA:    Safety and Security

1.             Holds fire and emergency drills & procedures.
2.         Briefs security guards to ensure safety and security of life and property.

KRA:    Accurate Reporting of Accomplishment and Incident

1.             Prepares report of unserved purchase orders and the corresponding reason for delay to inform end users and concerned authorities.
2.             Prepares inventory reports and control of supplier by recommending potential vendors/suppliers for accreditation.
3.             Prepares incident reports to ensure follow up and corrective action.

KRA:    Front Desk Support

1.             Operates PABX telephone console to receive incoming messages politely by obtaining caller's name and arranges for appointment with person called upon
2.             Greets visitors, guests and applicants politely by securing their names, issuing Visitor’s Pass and directing them accordingly.
3.             Receives incoming and outgoing mail by collects and distributing mail and messages to insure that they are received by the recipient.
1.             Attends Department meeting to get updates, information, and feedback on performance and on work related matters.
2.             Maintains cleanliness and orderliness of personal and work station through good housekeeping practices to ensure a sterile, safe, orderly, and comfortable physical work environment.
