RECEPTIONIST


First point of contact for all telephone and personal visits to the Business site; Responsible for presenting a high profile, professionally presented, well-groomed appearance, providing supportive, well-mannered and friendly assistance to employees, clients, vendors, applicants and visitors in accomplishing business objectives; Performs additional administrative and clerical tasks as a secondary responsibility when time resources allow.


SPECIFIC RESPONSIBILITIES


  • Greets and assists fellow employees, visitors, customers, clients, candidates and vendors to contact appropriate personnel
  • Maintains ongoing knowledge of staff whereabouts
  • Answers incoming telephone calls and transfers callers
  • Ensures reception area, conference/meeting rooms are kept neat and tidy
  • Maintains Visitor log book and VIP guest welcome signage
  • Co-ordinates breaks and lunch time reception coverage; offers training for relief personnel as required
  • Issue temporary security tags to employees and visitors and log in book and system
  • Organizes Courier pickups and Courier deliveries
  • Oversees distribution of fax, mail and material deliveries
  • Maintains and updates company intercom and telephone lists
  • Controls log on use of meeting/conference rooms and boardrooms
  • Maintains organization and name tag designations for mailboxes
  • Prepares memos and correspondence as required and time available
  • Orders and monitors stationary supplies
  • Assists as resource for: (maps, phone numbers, restaurants, cabs, florists, etc.)
  • Catering for clients and Internal personnel visiting site
  • Sorts Payroll
  • Maintains and orders postage for postage machine
  • Assists recruiting department with testing when necessary
  • Photocopy and filing as required
  • Maintains the Site’s Petty Cash and balances for month end and Cashes Cheque.
  • Orders supplies (ie. envelopes, Fed Ex supplies) as required
  • Produce documents, spreadsheets and charts in Word, Excel and PowerPoint
  • Orders telephony equipment except CSR phones (headsets,cords, etc)
  • Bi-monthly audit on  tuffset.Testing of Tuffsets
  • Order toners for printers
  • Order food for client/visitor functions
  • Access scanning capabilities for site.
  • Travel Coordinator for Moncton site (Temp.)
  • Bi-weekly printer meter readings
  • Diner's applications for site
  • Tracks blackberry/cell phones for site employees.
  • Creates LWI related to Admin roles.  Ie monthly floor incentives
  • Maintains & organizes business contact information
  • Prepare and submit expense reports for Site



ESSENTIAL QUALIFICATIONS


Education/Knowledge:  High School Graduation or equivalent education; Knowledge of Concentrix organization and Structure; Knowledge of basic office equipment (PC, fax) );  Microsoft Office:  Basic Word, Excel, E-mail applications;  Knowledge of basic switchboard operations;


Experience / Skill:          Minimum 2 years related experience in reception or office administration
